This Privacy Notice explains how MindMap Ventures LLC ("we", "us", "our"), the operator of RenoTracker (the "Service"), collects, uses, shares, and protects personal data. We act as the data controller for the personal data described below.
1. Personal data we collect
- Account data: name, email address, authentication identifiers (e.g. Google sign-in ID), and password hash.
- Profile data: first and last name, display name, and preferences you choose in the app.
- User content: spaces, rooms, decisions, products, notes, links, and photos you upload.
- Collaboration data: invitations you send, workspace memberships, and shared-room access tokens.
- Support communications: messages you send to us and our replies.
- Usage and device data: IP address, browser type, device identifiers, pages viewed, and error/telemetry events used to operate and secure the Service.
Payment information (card number, billing address, tax data) is collected directly by our Merchant of Record, Paddle. We do not receive or store full card details.
2. How we use personal data
- Create and manage your account and workspace (legal basis: performance of a contract).
- Provide the Service, including saving your renovation data and enabling collaboration (contract).
- Provide customer support and respond to inquiries (contract / legitimate interests).
- Secure the Service, prevent fraud and abuse, and enforce our Terms (legitimate interests / legal obligation).
- Improve the product through aggregated analytics and bug reports (legitimate interests).
- Send transactional emails (account, billing, security). We do not send marketing email without your consent.
- Comply with legal, accounting, and tax obligations (legal obligation).
3. Who we share data with
- Service providers / sub-processors that host, store, and operate the Service on our behalf (cloud hosting, database, authentication, email delivery, error monitoring, analytics).
- Paddle.com Market Limited, our Merchant of Record, for processing your purchases, managing subscriptions, calculating and remitting taxes, issuing invoices, and handling refunds and chargebacks.
- Other workspace members you invite — they can see content shared in your workspace.
- Professional advisers (legal, accounting, insurance) where reasonably necessary.
- Authorities when required by law, court order, or to protect rights, safety, or property.
We do not sell personal data.
4. International transfers
Our service providers may process data in countries outside your own, including the United States. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
5. Data retention
We keep account and content data for as long as your account is active. If your Pro Pass expires, your project data enters a grace period and is permanently deleted shortly after (you'll be notified before deletion). If you delete your account, we delete or anonymise your personal data within a reasonable period, except where we are required to retain it for legal, tax, or accounting purposes.
6. Your rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your personal data (you can also delete your account from the Account page).
- Restrict or object to certain processing.
- Receive a portable copy of data you provided.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with your local data protection authority.

7. Security
We apply appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, audit logging, and least-privilege access for our team. No system is perfectly secure, but we work to keep your data safe.
8. Cookies and similar technologies
We use strictly necessary cookies and local storage to keep you signed in and to remember your preferences. We may use limited analytics cookies to understand how the Service is used. You can manage cookies through your browser settings; disabling essential cookies will prevent the Service from working.
9. Children
RenoTracker is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us personal data, contact us and we will delete it.
10. Changes to this notice
We may update this Privacy Notice from time to time. Material changes will be announced in the Service or by email. The "Last updated" date above reflects the most recent revision.
